Information and Document Management Specialist
PURPOSE OF THE POSITION: To coordinate the development of information systems as well as the maintenance of records and documents within JDA.
KEY PERFORMANCE AREAS: Reporting to the Senior Manager: ICT, the role will be responsible to maintain documentation of system modifications according to the file plan
- Maintain development of system manuals
- Provide input for and review training materials
- Review that documentation is complete and accurate
- Investigate problems and develop recommendations for resolution. Analyse feasibility studies and drafts proposals for evaluation by stakeholders
- Review and evaluate business cases to confirm identified financials and risks, validate value and business alignment
- Maintain that ICT security is addressed in the development and products and services
- Ensure that JDA’s policies and practices allow the account management controls Information capturing and archiving: The role will be responsible to Upload all physical documents, information, records and knowledge onto an electronic based system and physical filing
- Update and maintain the filing and archiving systems as well as all files
- Archive information according to relevant legislation
- Archive master copies in accordance to relevant legislation, keeping them safe by means of password protection or any means necessary
- File JDA documentation electronically and physically according to relevant legislation
- Maintain electronic files by labelling them correctly and record information in a manner that is easily retrievable
- Maintain a proper and eff active system for the recording of all incoming and outgoing mail; faxes and relevant communication
- Provide documents and any information required (according to relevant legislation) when requested by business units or for audit purposes
- Implement the information and knowledge management policy and follow correct procedures set out by the Senior Manager: IT.
Education and experience required:
- National Diploma in IT/ Computer Science or equivalent
- Minimum 5-7 years’ experience in a similar role
- Sound knowledge of National Archives of South Africa Act (No. 43 of 1996) Promotion of Access to Information Act (No. 2 of 2000),
- Sound knowledge of Protection of Personal Information Act (no. 4 of 2013)
- IT processes and procedures • Knowledge of Project Management principles
- Knowledge of Corporate Governance and MFMA
- Valid unendorsed driver’s license

Senior Manager: Communications, Marketing & Public Relations
PURPOSE OF THE POSITION: Reporting to the Executive: Corporate Services, the role will lead and drive marketing, brand management and internal and external communication to promote the corporate image of the JDA, in support of the JDA’s Mandate and strategic objectives.
KEY PERFORMANCE AREAS: The role will be responsible to develop the Communication, Marketing & Public Relations (PR) Strategy and monitor the implementation of the strategy aligned to the Corporate Services Strategy and overarching
- Develop marketing, communication and PR policies in accordance with best practice, and monitor implementation therein
- Guide and approve the annual marketing and communication strategic plan, ensuring alignment to the Communication, Marketing & PR Strategy
- Develop and manage sound business relationships with all stakeholders i.e. employees, City of Johannesburg, other municipal entities, suppliers, etc.
- Monitor access to consistent internal communications across the JDA and oversee the implementation of communication forums for creating awareness and engagement e.g. monthly business sessions
- Lead the communication of organisational initiatives and projects to employees and stakeholders. Corporate Communication & Marketing Management: Oversee the development and implementation of the annual corporate communication and marketing plan, including all activities relating to the media, conference exhibitions, events, workshops, sponsorships, awards, advertisements, corporate videos and multi-media presentations
- Act as spokesperson for the JDA for external engagements

Education and experience required:

Senior Manager: Information, Communication & Infrastructure Management
PURPOSE OF THE POSITION: Reporting to the Executive: Corporate Services, the role will lead and direct the provision of technology for the JDA in support of business objectives through developing and implementing ICT initiatives, planning and directing the implementation of new technologies and systems, creating and implementing technology platforms, and managing ICT governance
KEY PERFORMANCE AREAS: The role will be responsible for providing ICT Strategic Planning & Leadership: Defi ne and establish an IT Governance Framework and Charter.
- Develop the ICT Strategy aligned to the Corporate Services Strategy and overarching business strategy
- Make strategic financial decisions regarding investments in systems and resources. Information Technology Systems: Manage the implementation of enterprise development system. Develop and manage the regular testing of IT business recovery plans
- Manage the implementation of IT projects in accordance with project deliverables, budget and timeframes
- Information Technology Support: Manage provision of ICT services
- Manage the design and implementation the JDA ICT infrastructure
- Manage the provision of IT support to the organisation in accordance with service level agreements. Information Technology Governance: Develop ICT policies and procedures
- Information Knowledge Management: Develop and manage the consolidation of knowledge pools across the JDA
- Procure and manage the implementation of KM business application tools. Information Technology Asset Management: Manage all ICT assets in line with JDA asset management policies and guidelines
